Your wedding day is one of the most important days of your life, packed with meaningful moments, unique touches, and a celebration of love. At Homestead 32, creating unforgettable experiences goes beyond just providing a beautiful venue. The dedicated staff works tirelessly behind the scenes to make sure everything goes smoothly during your wedding week.


In this post, we will take a behind the scene look at the various roles of the Homestead 32 staff during your wedding week. From preparation to the final moments of celebration, understanding their contributions will help you relax, knowing that every detail is being managed whether you are local, from Nashville, Knoxville our states as far away as California. We specialize in hosting couples, families and guests from out of state This way, your wedding day will be filled with joy and memories to cherish for a lifetime.


Setting the Stage: Preparation and Coordination


The preparation for your wedding starts well before the week itself. We meet with couples to discuss their vision, preferences, and specific requests. No later than six weeks prior to your wedding day, we meet to discuss the beginning point of your timeline and finalize the decor details for your personalized day.



Sunday:


This is the first day of your wedding week. Our staff arrives on site in the morning to finalize the clean up of the prior weeks wedding. Items from the prior wedding are gathered, organized and put away as we gather your selected items from our vast selection of decor. Prior to this day, we have been in communication with notes taken as to what you wish for your decor. We have pictures which have been added to your file to show us what you had selected at the 6 week meeting. At that meeting we "played" with table setting decor to get the exact look desired by the couple. The Wedding Plan Form, which was also completed at the 6 week meeting, is out and ready to be reviewed one last time by our staff.


This level of attention creates a foundation for a stress-free experience, allowing you to focus on love and celebration. Sometimes couples need to work up until the wedding day, our attention to all details allows you to complete the work week or take your valuable time to spend with friends and family.



Monday:

Our week begins by checking in with the couple and confirming timelines with all vendors. This proactive approach ensures that everyone involved knows their role, allowing for a smooth flow of events.


The decorating for the reception begins by transforming the space into a breathtaking setting tailored to your vision. For instance, if your theme is rustic chic, we will utilize wooden accents and greenery to bring your vision to life. If your theme is spring blooms, we will pull our spring silk florals to enhance all areas of your ceremony and reception sites. We will set up one table and send you a picture to see if the details are exactly as we discussed in our earlier meetings. If you approve, we move on to finalizing all tables and if you have a change, no problem, we take care of that as well.


As they work, team members keep communication channels open to accommodate last-minute requests. If you decide to include a photo booth or additional floral arrangements, the staff’s flexibility and professionalism provide peace of mind.

Tuesday:


When your wedding week arrives, the excitement builds. Throughout this week, Homestead 32 staff members remain busy with preparations, ensuring that everything is set for your celebration. This includes contacting all your vendors to insure deliveries of floral arrangements, catering supplies, and other rentals are set and will be on time. We will be present for the deliveries when the time arrises.


We continue on with the decorating of the arbor and special tables such as the card and gift table or the cake table just to name two.


After the decor had been completed we will return all totes and bins to the storage shed so that the area is neat and tidy for you to stop by as scheduled and have a first look with your venue.


Staff members work together to position tables, fold napkins and set up décor on the cake table, food tables as well as the card and gift table. This process is treated as an art form, designed to create a perfect space where love can flourish and your guests can celebrate together. We spend that extra time to make sure all areas are exactly as you envision. The neon light is up on the greenery wall, the floating candles are at just the perfect height, the staging rooms are ready, the bathrooms are clean and stocked. So much goes into each detail.

On Tuesdays we finalize the tables and other decor.

Wednesday:


You would think this might be one of our days off, but no. We are busy finalizing details at the bridal barn for the bride and her group to have a wonderful experience the day of. We have two packages which include this 2 bed, 2 bath cottage. One package (The Kimsey) includes the cottage the day of to get ready, relax and enjoy your bridal party. The second package (The Morgan) includes the cottage for a 2 night stay. Arrive prior to your rehearsal, relax and enjoy the night with your bridal party and then return after your Saturday wedding to enjoy the space with your new bride/groom. We take the trash away and provide the laundry service to keep our linens crisp and comfortable.


We also spend today and tomorrow working around the Venue and farm to ensure all is ready for our visitors. As my dad always said, "There is always fences to mend."

Wednesday: Make sure the Bridal Cottage is Ready

Thursday:


This day could be a cleaning/chore day around the venue or farm or it might be a day off for all of us. Each week is different as the weather can dictate when the mowing gets completed, the windows washed and the grass mowed.

Friday:


The day before your wedding day is a time to relax and enjoy the day. (Just kidding) We would love to have this type of day where we can sleep in, enjoy our coffee and just let the time slip away, yet as I talk to brides the reality is that there are always last minute details that need to be taken care of. Maybe a last minute nail appointment, a dress that needs steamed or something as simple as going back over your thoughts to make sure you didn't miss or forget a little detail.


If you have a Saturday wedding, Friday is your rehearsal. Gathering your bridal party, friends and family makes this a very special day. Everyone is there to celebrate the upcoming creation of a new family. With the Morgan Package, you have 3 hours to rehearse and have a dinner on our grounds. We provide the tables, chairs, linens (in a color not selected for the reception), chargers and silk florals for the tables. Food can be provided by family or delivered from one of our fabulous caterers from our Successful Vendor List which is shared when the deposit is given. The Kimsey Package allows for 1.5 hours of rehearsal time and the Wayman is 1 hour.


What happens during a rehearsal? We welcome everyone to Homestead 32 which is located between Middle and East Tennessee on top of the Cumberland Plateau. Why is this important? Because the weather can change from one hour to the next. We may be looking at rain in the forecast, yet in an hour it can change to no rain and sunny skies. With this knowledge we want everyone to be relaxed and know that we always have a rain back up plan which does not include the guests sitting at the reception tables. During this time we go over the line up, the songs and all the small details. If any changes need to be made, we discuss them at this time. We talk about the timeline for the wedding and answer all questions that might arise from the bridal party or family. Once we are at the ceremony site, I turn over the moment to the officiant. They go through the steps they will take and what the couple should expect. We practice the exit and then run through it as many times as needed. Note that this is just a shorten version of what takes place during the rehearsal. There are so many small details and steps that we make sure are clear to all involved. At Homestead 32 we act as your support planner and coordinator for the entire time you are with us. It is important to have a coordinator or someone whom can support your vision during this day.


Remember to bring any last minute personal items you wish to have for Saturday as at Homestead 32 Wedding Venue, we only hold one wedding or event per week(end). You should bring those personalized items when you come for rehearsal, at the latest so that you don't have to worry about remembering details on your wedding day.





Saturday: Wedding Day


On your wedding day, Homestead 32 staff are present from early morning until the last guest departs. We are measuring the distance between the arbor and the first row is make sure we create the perfect aisle way for you. Did you know that this measurement depends on details such as: how many people are walking the bride down the aisle and how large are the items being placed for aisle way decor. The arbor is then set in place and is either already decorated or is ready for fresh florals. Then the barrels or other decor is added to the entrance of the aisle and pictures are taken and sent for approval by our couples.


While the guys take care of the outside ceremony site, we finalize the inside reception area set up as needed. We review the area and check to see: are the dessert plates and forks on the cake table, are the items for the guest signing area ready and pens in place, is the neon light up and working, is the bar area ready for your pour service or bartender, are all reception tables ready for guests. We truly focus on all the large and smallest of details to make sure the day is perfect.


During the ceremony and reception, staff members take on visible roles, helping guests find their seats and smoothly guiding transitions between different parts of the event. They keep everything on schedule, allowing couples and their families to enjoy their special day with less stress.

Moreover, the staff is well-prepared for any challenges that may arise. If rain threatens an outdoor ceremony, they have contingency plans ready. Their quick problem-solving abilities allow for smooth and efficient resolutions, ensuring your day remains joyful. If a button pops off, we are ready.


Behind the Scenes: Post-Ceremony Responsibilities


Once the ceremony wraps up, the Homestead 32 staff shifts their focus to transitioning to the reception. They reset any elements necessary for the reception and facilitate serving appetizers and drinks while preparing for the couple’s first dance and speeches. We serve as your coordinator for the ceremony as well as the reception and all though out the planning process.


Throughout the reception, team members maintain the atmosphere, adjusting lighting and continue to work closely with the DJ as well as the photographer. It is important to us that every toast is heard and every special moment is captured, demonstrating our dedication to making your day as memorable as possible.


The Twilight Hours: Farewell and Cleanup


As the festivities wind down, the Homestead 32 staff coordinates a smooth send-off for guests. The last dance is by 10:00PM yet we make sure the faux send off and all other important moments the couple wish to capture are completed prior to the end of the night.


After the event, staff members begin the challenging task of cleaning up and packing decorations. This laborious process allows for a neat transition to separate the personal items and those owned by HS32. Couples and Families have the ability to schedule time on Sunday to pick up those personal items which they are not able to take with them on Saturday night. Their commitment ensures that the venue is left just as beautiful for future couples.
